Program Assistant Position with American International Health Alliance

POSITION SUMMARY: Reporting to the Senior Program Associate, the Program Assistant is an entry level position. S/he is responsible for editing reports, facilitating partnership travel, updating budgets, and providing essential support to programs.

ESSENTIAL DUTIES:
Program/Partnership Management:
  • Coordinate all aspects of AIHA’s Volunteer Healthcare Corps (VHC) initiative, including outreach, recruitment, selection, travel, and management of international volunteers
  • Assist in the review of project/partnership work plans and budgets; support development and submission of quarterly and annual reporting to USG donor agencies and other audiences
  • Assist in planning and implementation of special initiatives and other projects, including activities to update and inform staff, such as developing country-specific analyses, literature reviews, and technical briefs; researching and presenting on global health topics, planning brown bag seminars, and attending global health events in the DC Metro area, reporting on these to staff
  • Maintain communication and coordination with regional and country offices and partners
Administration and Program Support:
  • Schedule, attend, and document program team meetings and larger workshops and conferences
  • Prepare procurement requests and coordinate with Administration Department
  • Coordinate travel logistics for partners and other program travel
  • Review and preliminarily process purchase order requests, travel vouchers, invoices from consultants, and subcontracts in a timely manner
  • Assist M&E Officer by updating AIHA database, editing reports, and conducting data quality checks
  • Collaborate with Communications and Program Staff to produce content and gather information with respect to field and/or partnership activities, including developing content for social media
QUALIFICATIONS AND ABILITIES:
Education and Experience:
  • BA or BS in relevant field (e.g. international studies, health-related)
  • Work or internship experience with international or health-related organization
  • Strong proficiency with computers and software (MS Office).
  • Ability to multi-task in a fast-paced environment and set priorities,
  • Strong attention to detail, organized, and ability to problem-solve
  • Able to maintain confidentiality and handle sensitive situations effectively
  • Excellent oral and written communication skills, the ability to communicate with individuals at all levels with tact, diplomacy, and cultural sensitivity
  • Self-motivated and the ability to work both independently and as part of a team
  • Strong customer orientation
  • Regular attendance required
