Program Assistant/Junior Associate Position with Halifax International Security Forum for Recent Grad

Location: Washington, D.C.

Position description

The Program Assistant/Junior Associate will provide support for the organization's flagship event, Halifax International Security Forum, as well as year-round programmatic support for the organization. In addition to programmatic responsibilities, the Program Assistant/Junior Associate will also act as staff assistant to the President and Vice President of the organization. Leading up to the event, the Program Assistant/Junior Associate is primarily responsible for managing speaker and delegation relations and will help to supervise participant relations for the annual event. This role includes implementing the invitation process, collecting logistical data for speakers and delegations at the event, being responsive to speaker queries, acting as primary point of contact for speakers and delegations at the event, and other tasks as assigned. S/he will work closely with the Director of External Relations supporting various projects that contribute to the annual event and the overall programmatic development of the organization. A key element of this role will be overall contact management for the organization and overseeing database development.

Responsibilities
  • Drafts, sends and tracks invitations to the annual event
  • Acts as primary point of contact for event speakers and key delegations
  • Acts as staff assistant to the President and Vice President
  • Supervises the programmatic activities of the internship program
  • Coordinates contact management and database development
  • Oversees the input of all participant data
  • Researches potential event participants and speakers
  • Assists in the development of event materials
  • Contributes to the development of the event agenda
  • Follows current events relevant to the international security agenda
  • Manages the organization's social media presence
  • Researches potential donors and contributes to the development and dissemination of fundraising materials
  • Represents Halifax International Security Forum at official events as needed

Qualifications

  • Bachelor's degree, preferably in International Relations, Political Science or a related field; graduate degree preferred
  • Interest in and knowledge of international security issues
  • At least 2 years work experience in a related field
  • Strong interpersonal skills and ability to interact effectively with all levels of staff, VIP's and across different cultures
  • Ability to act with professionalism and discretion
  • Strong oral and written communication skills to effectively present information and respond to questions
  • Capacity to work both independently and as a member of a team
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple tasks simultaneously, at times under tight deadlines
  • Ability to effectively prioritize.
  • Ability and willingness to travel to Canada
  • Experience with Apple products, WordPress, Basecamp a plus
