Administrative Associate Position with Chemonics International for Recent Grad

Chemonics seeks an administrative associate to work within a multi-layered coordination role to support the day to day activities of key leadership on the Global Health Supply Chain (GHSC) - Procurement and Supply Management (PSM) project. The administrative associate facilitates the coordination of meetings and events, provides calendaring support, and communicates assigned follow up duties through active note taking activities. The administrative associate is responsible for ensuring a high level of communication while balancing multiple priorities, leading to effective intercompany knowledge sharing.
The successful candidate will support the newly awarded GHSC - PSM project. GHSC - PSM is a multi-billion dollar United States Agency for International Development (USAID) funded objective. The project consolidates the procurement and assistance components of the current USAID Deliver and USAID Supply Chain Management System (SCMS) programs and will be the primary vehicle through which USAID will procure and provide lifesaving commodities to partner countries. Supporting key global health initiatives in HIV/AIDS, malaria, reproductive health, and maternal and child health, the project encompasses three primary objectives: global commodity procurement and logistics; systems strengthening to support in-country supply chain management; and collaboration via strategic engagement to improve long-term global supply of health commodities.

Responsibilities include:
  • ​Facilitates event coordination activities including arranging catering, reserving conference rooms, and liaising with IT to ensure proper technical set up of venues
  • Provides daily calendar management support activities for assigned leadership teams
  • Drafts, manages, and distributes note taking during meetings, ensuring accuracy of communications for record keeping purposes
  • Provides directions to meetings and metro maps to external and internal team members, clarifying questions and following up with additional information as needed
  • Welcomes participants to events including assisting with signing guests into security and escorting to meeting space and/or venues
  • Responds to and carries out ad hoc IT requests during meetings, including printing requests
  • Answers IT related technical questions including use of Share Point; resolves technical questions related to internal IT systems or software
  • Becomes knowledgeable in understanding internal points of contact with the organization to best answer resource related questions
  • As required, completes visa applications and follows up on requests to facilitate timely processing
  • Acts as main point of contact for booking travel arrangements, referencing current internal policies
  • Compiles and organizes expense reports on behalf of Senior Vice President travelers
  • Responsible for updating the organizational chart for specific PSM Directors, as assigned

  • Bachelor’s degree or equivalent work experience required
  • Minimum one year or more of proven organization and coordination skills; experience in a professional office environment preferred
  • Interest in career growth opportunities within the organization upon successful completion of 12 months or more in the current role strongly desired
  • Prior work experience in international development with knowledge of USAID or similar donors and/or for a USG government contractor preferred, but not required
  • Demonstrated interest in global supply chain, international health, or related donor funded programs desired
  • Exceptional oral and written communication skills as demonstrated through one year or more in a similar position carrying out inter-office coordination duties
  • Ability to promote teamwork and a positive work environment including the ability to work effectively both independently and as part of a team
  • History of organizing and managing multiple projects simultaneously; strong attention to detail with impeccable follow up skills
  • Demonstrated resourcefulness and initiative responding to technology related requests involving multiple internal and/or external stakeholders
  • Strong knowledge of Microsoft Office applications; familiarity with Share Point preferred
  • Willingness and ability to travel for meetings and event coordination activities between the Washington, DC and Crystal City (Arlington), VA offices
  • Demonstrated honesty, integrity, commitment to excellence, and strong work ethic
  • Ability to travel and work abroad a minimum of 4-8 weeks per year; experience living or conducting volunteer work in developing countries preferred
