Administrative Assistant Position for Recent Grad with International Student House of Washington, DC

International Student House of Washington, DC (ISH-DC) is a 80-year-old non-profit organization that provides an exceptional residential experience to a highly diversified international community of graduate students, interns and visiting scholars.  Located in the dynamic and vibrant neighborhood of Washington’s Dupont Circle area, our 100-year-old Tudor-style mansion offers elegant public spaces for study, relaxation and social interaction among our resident scholars.  We are a home away from home where our 100 residents live, work and dine together in a safe and supportive environment.  Over 12,000 individuals from more than 140 countries, including the United States, have passed through the doors of ISH-DC since our founding.  Our mission is to promote intercultural dialogue, encourage life-long connections and foster global citizenship.
ISH-DC is seeking a candidate for a full-time (35 to 40 hours per week) hourly Administrative Assistant position.  The ideal candidate will be a team player and will have a "can do" attitude. This position will include assisting the Executive Director and small staff of six (6) in an administrative capacity to support the overall mission of the organization.  Depending on the level of experience, the salary range is $38,000 ($18.25 on an hourly basis) to $40,000 ($19.23 on an hourly basis).
  • Work with the ISH-DC staff to monitor and maintain multiple databases of donors, residents, and alumni;
  • Support the Executive Director with scheduling meetings and organizing travel as needed;
  • Serve as the first point of contact for general inquiries from potential residents both electronically and by phone;
  • Organize, maintain and archive the organization’s shared drive files;
  • Receive, review, and code invoices and bills;
  • Organize supplemental materials for Board meetings;
  • Oversee the team calendar;
  • Coordinate annual state fundraising certifications;
  • Order office supplies as needed;
  • Draft correspondence;
  • Other administrative duties as assigned.
  • Provide back-up assistance when necessary for programs and events. Including Ambassadorial Dialogue briefings, lectures, and cultural events;
  • Assist with potential outside client facility rental inquiries;
  • Meet regularly with on-site chef to coordinate menus for meetings and special events;
  • When necessary, act as liaison with external vendors (rentals for events, flowers, etc.);
  • Support special events including annual fundraising dinner and garden party.
  • Bachelor’s Degree and two years of experience in a professional environment;
  • Exceptional written, oral, interpersonal and presentation skills and the ability to effectively interact with management and fellow staff members;
  • High-energy, pro-active, can-do positive attitude;
  • Results oriented;
  • Flexibility, detail oriented and high-degree of initiative;
  • Independent problem solver;
  • Desire to work in a multi-cultural environment;
  • Previous international/educational exchange experience, a plus;
  • Command of the English language.
  • Experience with databases; experience with StarRez and Donorpro is a plus, but training will be provided;  
  • Experience in processing invoices;
  • Proficiency in the use of newer technologies for social media and marketing campaigns.
